Description

We need to coordinate FOSDEM and nearby events. Planned is currently:

  1. board meeting, maybe in parallel to the hackfest or on a separate day => room required, unless beta coworking can provide individual rooms w/o someone else in
  2. possibly an employee meeting, maybe in parallel to the hackfest or on a separate day - Florian => room required, unless beta coworking can provide individual rooms w/o someone else in
  3. certification meeting - Italo, during FOSDEM Saturday or Sunday => room required, either at FOSDEM (might be hard) or in a separate venue
  4. hackfest - Fridrich or Kendy, Monday and Tuesday after FOSDEM

Steps required:

  1. pinging the above what their plans are
  2. distribute responsibilities for getting rooms booked

Answer from Italo:
We have a room at FOSDEM on Saturday morning from 10AM to 12AM, which is
a good start but is not enough (in two hours we will probably have 3
review sessions). So, we need a room either on Sunday or Monday (I would
prefer on Monday morning, to avoid losing the entire FOSDEM doing
certification reviews). Between 9AM and 3PM we should be able to have 9
review sessions, which should be enough. If needed, we can get to 5PM to
add another 3 review sessions.

We can schedule the sessions according to the needs of the candidates.

On Tuesday, we can have the first certification training session, for
people interested in knowing more about the program and how to prepare
for the review. But this is totally optional, although I am available
for managing it.

I cannot leave before Friday morning (January 30), and I must be back by
Wednesday (February 4). On Thursday nights, from January till March, I
will be teaching Free Software at the University of the Third Age in Milan.

Cor told we will get the rooms, but wait for an official quote
Can you keep an eye on this, Sophie? I can take care of payment if needed, of course.

Please also remind the team again that our team meeting will be on Tuesday and they should book accordingly, ideally not leaving before Tuesday evening.
Please also remind the board that the board meeting will be on Monday.

I stay from Friday to Wednesday in hotel Astrid, booked via HRS. Team should book their accomodation and travel ideally when it's still cheap. Can you reach out to them again? Thanks!

Cor told me he will inform me as soon as he has the info. But I'll keep an eye on it :) I'll send a mail to core and to team to remind them.

  • remind the staff about the Tuesday (Feb 3rd) meeting, end of this week
  • coordinate with Italo on the certification meetings => also check with him where he plans to host the certification meeting on Monday, as IMHO we don't have a separate room for that booked? Also check with him if he still has planned the Tuesday session - we have the staff meeting, so I assume this will not take place, or only afterwards

here is his planing :
We have a room at FOSDEM (UB2.147) on Saturday morning at 11:00AM to
01:00PM, and then a session at Coworking on Monday. I do not think we
need a room, as we can sit in a corner of the open space.

I let the issue open to ping Cor again for the invoice
